Processing activities are a central point for current regulations, that's why they are very important to add to the Anove app. On this page we show how you can add and manage your data processing activities.

Here's how to add a processing activity.


  1. Go to 'Privacy Management' -> 'Register of Processing Activities' and click 'Add




  1. Fill in Reference, Name, Description, and Owner


  1. Click on 'Add'


You have now successfully created a processing activity!✅





Adding Details


Now that you have created a processing activity, let's get to the specifics. Click on the processing activity you just created, and you will land on a page describing this activity. You can see its description, which can be edited from the 'Update' button. You will also see multiple tabs, like DataPurpose, and Data Subject. Let's see what each of them mean:





Example: Payroll Management


Name: Payroll management


Description: Payroll management is a data processing activity that involves collecting, storing, and managing employee data related to their compensation, benefits, taxes, and other related information. This includes calculating and processing employee wages or salaries, deducting taxes and other withholdings, and managing benefit contributions and other deductions. The goal is to ensure accurate and timely payment of employees, while also complying with legal and regulatory requirements related to payroll and employee compensation.



Data:


  • Fill in which personal data is needed or used in this processing activity.


  • Short description of the personal data type.


  • Assign retention period as per your company policy.


Purpose:



  • What are the primary and secondary purposes of this data processing activity?


  • For example: The primary goal of this processing activity is compliance. Banks must comply with various data protection and privacy regulations, such as KYC (Know Your Customer), CDD (Customer Due Diligence), and financial regulations like Anti-Money Laundering (AML) laws. A secondary goal could be business continuation.


Data Subject:


  • Who are the subjects of this data processing activity?


  • For example, bank customers are subject to this data processing activity because banks are required by law to collect and process personal data of their customers to comply with regulations, such as anti-money laundering laws, and to protect against financial crime and risks.


Stakeholders:


  • Who controls and processes this data?


  • Don't see third parties? Make sure to add some (see "Adding Third Parties").


  • Have they signed a data processing agreement with you?


Security Measures:


  • Which security measures are in place? Fill in name and details.


  • For example: Encryption is converting sensitive data into a coded language to prevent unauthorized access, modification, or theft. This can be achieved through


  • various methods such as symmetric encryption, asymmetric encryption, or hashing algorithms.


Systems and Technologies:


  • Which systems and technologies are involved in this processing activity?


  • Add a short description.

Back at the 'Register of Processing Activities' page you can have a glimpse into which data you are processing across your activities and where your data is processed.
